Mileage Tracking

Review mileage expense entries with monthly totals, trip counts, and detailed vehicle and destination rows.

Mileage Tracking

The Mileage Tracking report shows the mileage expense entries you have recorded in Cadence Calendar.

Who this is for

This report is for teachers and organization admins who track business mileage for travel, lessons, or other work-related driving.

What data it generates

The report includes:

  • mileage expense entries only
  • total miles driven
  • the number of trips recorded
  • average miles per trip
  • average miles per month
  • monthly totals
  • year-to-date mileage totals
  • itemized mileage rows with date, vehicle, destination, and miles

How to use it

Open Mileage Tracking from the Business Reports area and choose the year or month you want to review.

You can:

  • view the full year
  • view a specific month
  • open the PDF in a new tab
  • download the PDF
  • download the CSV

What the report means

This report is built from mileage expense entries already entered into Cadence Calendar.

It is useful when you want to review:

  • how much you drove for business
  • where the trips were recorded
  • which vehicle was used
  • how mileage changed over time

What you will see in the report

The report shows a monthly summary plus detailed mileage rows.

Each detailed row can include:

  • the trip date
  • the vehicle name
  • the destination
  • the miles driven

If a distance was left blank in the source entry, it is treated as zero in the totals.

Best practice

Use Mileage Tracking when you want a clean mileage log for bookkeeping or tax preparation. If you want an estimated mileage deduction and tax context, use Tax Summary as well.
