Connect Calendly
Go to Settings → Integrations → Calendly and connect your Calendly account.
You’ll see the connected email and a confirmation banner once linked.
Important: Automatic event sync requires Calendly’s Standard (or higher) plan. If you upgrade later, disconnect and reconnect to apply the new permissions.
Sync your Calendly Event Types
Click Sync Event Types to pull in your latest booking types (name, duration, color, description, link).
Toggle any type Enabled/Disabled.
Enabled = events of that type will be imported into Cadence Calendar.
Disabled = events of that type will be ignored.
Use View Booking Page to preview the public Calendly link for that type.
Pull in scheduled events (Pending Events)
Click Sync Events to fetch new bookings from Calendly.
New bookings appear under Pending Events for review before they’re added to your calendar.
Each pending item shows: student name, scheduled date/time (in your timezone), duration, and price (if provided by Calendly).
Match each pending event to a student
Cadence auto-suggests matches using:
Student email → exact match, then
Student full name → exact match, then
Account primary contact email → exact match.
Choose New Student or Existing Student:
New Student: Click Confirm to open a quick form prefilled with name, duration, and (if provided) price. Submitting creates a new Account + Student and links the event.
Existing Student: Select the student from the dropdown and Confirm to link the booking to that student.
Use Remove if you don’t want to import that booking (e.g., test bookings).
What happens after you confirm
The booking becomes a Lesson on your Cadence Calendar with start/end time and duration.
If the Calendly booking collected a payment, Cadence links it to the student so you can track charges/payments and report income alongside your other lessons.
From there you can use all Cadence features: attendance, notes, transactions, invoicing, and reports.
Ongoing management
Return to Pending Events anytime and click Sync Events to fetch new bookings.
Update Enabled Event Types as your offerings change.
If you switch Calendly plans or permissions, Disconnect and Reconnect to refresh access.
Troubleshooting & tips
Don’t see pending items? Click Sync Events and confirm your event type is Enabled.
Auto-matching didn’t find the student? Use Existing Student and pick them manually, or choose New Student.
Using Calendly Free plan? Automatic sync isn’t supported—upgrade to Standard (or higher), then disconnect/reconnect.
Need to stop importing? Toggle a type to Disabled or Disconnect Calendly from the bottom of the integration page.
Disconnecting Calendly
Click Disconnect on the integration page. Your existing Cadence lessons remain; new bookings will no longer import until you reconnect.
