Connect to Stripe

Connect Stripe to take appointment payments, add online payment links to invoices, and collect online payments from families.

Stripe is the payment processor Cadence Calendar uses for online payments. When Stripe is connected, Cadence can send families to Stripe Checkout for paid appointments, show online payment options on invoices, accept Stripe payments from family payment pages, and auto-charge invoices using a card a family has saved on file.

Only the teacher account owner or an organization admin can manage the Stripe integration.

When Stripe is connected, Cadence Calendar can use it in three main places:When Stripe is connected, Cadence Calendar can use it in four main places:

  • paid appointment bookings

  • invoice payment links

  • family account payment pages

Stripe does not replace Cadence Calendar’s billing records. It only handles the payment step. After Stripe confirms a payment, Cadence Calendar records the result in the app.

How to connect Stripe

  1. Go to Settings > Integrations > Stripe.

  2. Click Connect.

  3. Complete the Stripe onboarding flow.

  4. Enter or verify your business details.

  5. Add a bank account in Stripe.

  6. Make sure charges and payouts are enabled.

  7. Return to Cadence Calendar and confirm your Stripe account shows as connected.

If the connection is incomplete, online payments may not be available yet.

How Stripe is used for appointments

Some appointment types require payment before the booking is completed.

When that is turned on:

  • the booking page sends the family to Stripe Checkout

  • the booking is only completed after Stripe confirms the payment

  • if Stripe is not connected or not fully enabled, the paid appointment cannot be completed

If you choose to pass Stripe processing fees to the family, Cadence Calendar increases the charged amount to cover Stripe’s fee.

How Stripe is used for invoices

When Stripe is connected, invoice settings can include an online payment link.

That means:

  • invoices can include a pay-now link

  • invoice reminders can include the same payment option

  • unpaid invoices can be paid directly from the invoice payment page when Stripe is available

After Stripe confirms the payment, Cadence Calendar marks the invoice as paid and records the payment in the account history.

How Stripe is used for family payments

Families can also use Stripe from the family payment page for account credit payments.

On that page:

  • the family enters the amount to pay

  • Stripe is shown as a payment option when it is available

  • the payment is recorded as an account transaction after Stripe confirms it

If Stripe fees are passed to families, the amount shown on the page reflects the extra processing cost.

What happens after a successful payment

After Stripe confirms payment:

  • appointment bookings that required payment are finalized

  • invoice balances are updated

  • account payment records are saved in Cadence Calendar

  • the payment appears in the related account or invoice history

How disconnecting Stripe works

If you disconnect Stripe:

  • invoice payment links stop using Stripe

  • unpaid invoices will no longer be payable through Stripe

  • appointment types that require payment will not be able to complete the booking flow until Stripe is connected again

  • you can reconnect Stripe later from the same page

What to check if payments do not appear

If a payment option is missing, check these first:

  • Stripe is connected

  • charges are enabled in Stripe

  • payouts or onboarding are complete

  • the invoice or appointment actually requires online payment

  • the family is using a page that supports online payments

How Stripe is used to auto-charge invoices

Once an account has saved a card with Stripe, you can turn on auto-charge when you create an invoice for that account. Cadence Calendar creates a matching invoice in Stripe and charges the saved card automatically, without the family needing to click a payment link.

The account page shows whether a card is on file and tracks the status of any invoices that were auto-charged, including failed attempts and the next scheduled retry. See Auto-charge invoices with a saved card for details.
