This article explains what are email presents and how to use them.

Using Email Presets and Groups

With Email Presets and Groups, you don’t need to copy and paste email addresses manually into your email client.

How It Works

  • When you expand a preset or group, you’ll see the associated list of student or contact email addresses.

  • Use the action button next to these addresses to automatically open your default mail client (such as Gmail, Outlook, or Apple Mail).

  • All selected addresses will be placed into the BCC field for you, keeping recipients private.

Benefits

  • Faster sending: One click and your email app opens, pre-filled with addresses.

  • Privacy: By default, all addresses are added as BCC, so no contact sees another’s email.

  • Flexibility: You can still copy the addresses if you’d rather paste them into another tool.

What Email Presets Include

  • Pre-defined Groups of Emails: Each preset contains a list of email addresses that are tied to your accounts, students, or groups.

  • Unique Email Filtering: Duplicate email addresses are automatically filtered out so you only see one copy of each.

  • Easy Access: Presets appear in a collapsible list that shows all the included emails.

How to Use Email Presets

  1. Navigate to the Email Presets section.

  2. Expand a preset to see the list of available emails.

  3. Use the tags to view or copy the addresses.

  4. Click the Actions Menu to:

    • Copy all emails

    • Start a new email using your default email provider

Example Use Cases

  • Announcements: Instantly gather all student or parent emails to send a mass update.

  • Reminders: Use presets to email only parents, only students, or both at once.

  • Group Communication: If you’ve organized students into groups (e.g., Beginner, Advanced, Ensembles), the related preset lets you contact everyone in that group quickly.

Tip: Presets save time and reduce mistakes by ensuring you don’t miss or duplicate email addresses when contacting families.
