How families use invoice links, account payment pages, and Auto-Pay in Cadence Calendar.

How families pay online

Families can pay online in Cadence Calendar when the teacher has online payments turned on. The exact payment options depend on which processors are connected and which page the family is using.

Who this is for

This article is for families who need to pay an invoice or add money to a family account.

Where families see online payments

Families may see online payment options in two places:

  • invoice payment links

  • the family account payment page

If the teacher has both Stripe and PayPal connected, families may be able to choose between them. If only one is connected, they will only see that one.

How families pay an invoice

When a family opens an invoice payment link:

  1. They review the invoice amount, due date, and payment options.

  2. They choose Stripe or PayPal, if both are available.

  3. They complete checkout.

  4. Cadence Calendar updates the invoice after the payment is confirmed.

After a successful payment, the invoice is marked paid and the payment appears in the invoice history.

If the invoice amount is $0, no online payment is needed.

How families pay an account balance

Families can also pay a family account directly from the account payment page.

On that page:

  1. They enter the amount they want to pay.

  2. They choose Stripe or PayPal if it is available.

  3. They finish the checkout flow.

  4. Cadence Calendar records the payment as an account transaction.

The minimum account payment amount is $1.00.

How appointments fit in

If a lesson or appointment requires payment before booking, the family is sent to Stripe Checkout during the booking flow.

In that case:

  • the appointment is not confirmed until the payment succeeds

  • the family does not use the invoice payment page

  • Stripe is the payment method for that booking flow

Saving a card for future invoices

Some teachers ask families to save a card on file so future invoices can be charged automatically instead of being paid one at a time.

If a teacher sends this kind of link:

  • the family opens a card setup link, not a payment for a specific amount

  • they enter their card details in Stripe Checkout

  • no charge happens at that moment, the card is only saved

  • the teacher can then auto-charge that saved card when a new invoice is created

Families can ask their teacher to remove a saved card at any time.

What families should expect

Families should expect the payment page to show only the methods that are actually available.

They may also notice:

  • Stripe may include an extra processing fee when the teacher passes Stripe fees to families

  • the amount shown on the payment page may reflect that added fee

  • after payment, Cadence Calendar updates the related invoice, appointment, or account record automatically

If the account uses Auto-Pay

Some families may be set up on Auto-Pay.

When that is enabled:

  • the monthly payment is collected automatically through Stripe

  • the family usually does not need to pay each month by hand

  • the balance updates after Stripe confirms the payment

If an invoice was auto-charged

If the family has a saved card and the teacher turned on auto-charge for an invoice:

  • the family does not need to click a payment link for that invoice

  • Stripe charges the saved card automatically after the invoice is created

  • if the automatic charge fails, Stripe retries it, and the family may want to check with the teacher if the balance still shows as unpaid

What can go wrong

Online payment may not be available if:

  • the teacher has not connected a payment processor

  • the invoice or account page does not support online payments

  • the appointment booking does not have Stripe connected when payment is required

  • the family tries to pay a zero-dollar invoice

If payment does not appear, the family should contact the teacher.
