Policies let you publish studio agreements (cancellation rules, payment terms, code of conduct, etc.) that families review and agree to, instead of chasing signatures over email.
Manage them from Settings > Policies.
Go to Settings > Policies and click Create Policy.
Give it a title and write the content in the rich text editor.
Toggle Active Policy on to make it visible in the portal and available for family agreement. Leave it off to save a draft or archive an old policy for reference.
Click Save Policy.
The Policies list splits into Active Policies and Inactive Policies sections so you can tell at a glance which ones are currently live.
If you change the title, content, or active status of a policy that families have already agreed to, Cadence asks how to handle the existing agreements:
Save and Keep: keeps current agreements marked as valid.
Save and Reset: marks every existing agreement as Needs Re-Agreement, so families have to review and agree again.
Use Save and Reset whenever the change is substantive enough that families should see and confirm it again.
Open a policy from the Policies list to see every account that has agreed to it, when they agreed, and its status:
Current: the account agreed to the version of the policy currently published.
Needs Re-Agreement: the account agreed to an older version, and the policy has since been updated with a reset.
To require new families to agree to a policy before they can join:
Go to Settings > Sign-Up Form.
Under Attached Policies, select any active policy you want to require.
The public sign-up form cannot be submitted until every attached policy is agreed to.
Only active policies appear in the Attached Policies list. If you have not created an active policy yet, the dropdown prompts you to create one first.
Each account page shows the policies currently active for that family, whether the family's agreement is Current or Needs Re-Agreement, and when they last agreed. Accounts with at least one active policy also get a shareable policy link, so you can send a family straight to their outstanding policies to review and agree without needing to log in to the portal.
