Welcome to Cadence Calendar

Cadence Calendar is the place where teachers, studios, and families manage scheduling, billing, communication, and account access in one system.

It is designed to keep the day-to-day work simple:

  • keep lessons and appointments organized

  • keep invoices and payments easy to track

  • give families a clean portal for account access

  • keep settings, permissions, and automations in the right place

Cadence Calendar separates personal user settings, organization-level settings, and family-facing portal pages so each person sees only what is relevant to them.

Setting up your account: the onboarding wizard

When you sign in for the first time, Cadence Calendar walks you through a multi-step onboarding wizard before you reach your dashboard.

Step 1: Choose your workspace type

The first step asks you to pick how you will use Cadence Calendar:

Individual Workspace

  • Best for solo teachers and tutors managing their own students

  • One teacher, one calendar, simple solo setup

Organization

  • Best for studios and schools with multiple teachers and staff

  • Supports multiple teachers, shared administration, and centralized oversight

You can always create an organization later if your studio grows.

Step 2: Tell us about yourself

Enter your full name, select your timezone, and optionally tell us how you heard about Cadence Calendar. These details personalize your experience from the start.

Step 3: Name your organization (organization workspace only)

If you selected the Organization workspace type, this step appears so you can name your organization. Cadence Calendar creates the organization and activates it as your workspace as soon as you finish onboarding.

If you already belong to an existing organization, this step links your account to that organization instead of creating a new one.

Step 4: Finish

A summary screen shows what happens next based on your workspace type:

  • Individual: add your first students and lessons, connect integrations, and sync your calendar.

  • Organization: your organization workspace is created, and you can invite teachers and staff after setup.

Personal vs organization experience

Cadence Calendar behaves differently depending on how your account is set up.

Personal experience

If you are using Cadence Calendar as an individual user, you will mostly work in your own account settings and day-to-day teaching pages.

Organization experience

If you belong to an organization, some pages are shared across the organization and some actions are limited to admins.

Organization admins can manage shared settings like billing, membership, and integrations. Organization members can use the parts of the app that are available to their role, but they cannot change organization-wide settings.

Family-facing portal

Families do not use Cadence Calendar the same way teachers do.

The account portal is for families who need to:

  • sign in with their account email and code

  • review their account details

  • see lessons and appointment information

  • view invoices and payment history

  • open notes or documents when enabled

  • manage a small set of portal preferences

Getting started checklist

Use this quick checklist if you are new to the app:

  1. Complete the onboarding wizard and choose your workspace type (Individual or Organization).

  2. Confirm your profile and timezone are correct.

  3. Review your students and accounts.

  4. Check your calendar and lesson setup.

  5. Set up invoices and payment options.

  6. Decide whether families should use the account portal.

  7. Connect the services you need.

  8. Review any workflows or automations you want to run.

What happens next

Once Cadence Calendar is set up, the app handles the repetitive parts of the workflow for you.

That means:

  • calendar events appear in the right timezone

  • invoices can be created and paid online when enabled

  • families can use the portal instead of emailing for every small request

  • reminders and automations can run in the background
